VeriFactu guide for workshops

VeriFactu for auto repair shops

What it is, who it applies to and from when, and how to get your workshop ready without a last-minute scramble. A clear guide, no jargon.

What is VeriFactu?

VeriFactu is the new verifiable electronic invoicing system of the Spanish tax agency (AEAT). It comes from Royal Decree 1007/2023 and Order HAC/1177/2024, which develop the Anti-Fraud Law.

The goal is that no invoice can be altered or deleted without leaving a trace. To achieve this, the regulation requires all invoicing software to:

  • Chain each invoice to the previous one with a cryptographic fingerprint (SHA-256 hash)
  • Be ready to report the records to the AEAT automatically
  • Generate immutable invoices: once issued, they can only be voided, never modified
  • Include a verification QR code on every invoice

When is it mandatory?

Royal Decree-law 15/2025 deferred the dates by one year. This is the current calendar:

Type of taxpayerObligation date
Companies (Corporate Income Tax)1 January 2027
Self-employed and other IRPF taxpayers1 July 2027

Until those dates you can keep invoicing under the Invoicing Regulation (RD 1619/2012). But it is worth adapting sooner so you don’t have to invoice in a rush.

How VeriFactu is activated in El Bujías

When your time comes, activating VeriFactu is three steps, with no one to call.

1

Upload your digital certificate

Your workshop’s digital certificate — the sole trader’s personal certificate, or the company representative’s certificate for a company — exported as a .p12 file with its password, in Settings → VeriFactu. A step-by-step guide inside the app explains how to get it and export it.

2

The app checks the holder

Before activating, El Bujías compares the certificate’s tax ID with your workshop’s, so you don’t run into an AEAT rejection later because they don’t match.

3

From then on, just invoice

Every invoice you issue is sent to the AEAT automatically. If a record is rejected or gets no answer, it is resent on its own; anything still unsent shows in the app.

True today

  • The manufacturer’s Responsible Declaration is already signed.
  • Before issuing an ordinary invoice, we check the customer’s tax ID and name against the AEAT census.
  • A record the AEAT rejects or doesn’t answer is resent automatically; anything left unsent shows in the app.
  • Every type of record the program issues has been accepted in the AEAT test environment.

How to get your workshop ready, step by step

1

Check whether it affects you and when

If you issue invoices as a workshop (self-employed or a company), VeriFactu will affect you. The date depends on your legal form — see the calendar further down.

2

Leave Excel, Word and old programs behind

Invoicing by hand or with templates will stop being valid. You need an invoicing system that chains your invoices and is ready to report them to the AEAT.

3

Choose software ready for VeriFactu

Look for sequential numbering, a hash chain, a verification QR and the manufacturer’s responsible declaration. With that you arrive prepared, with no last-minute changes.

4

Migrate your data in good time

Switch over before the deadline so you don’t have to invoice in a rush. A good provider imports your customers, vehicles and history from your current program.

How to choose software ready for VeriFactu

Before signing up for any invoicing program for your workshop, check that it ticks this list:

  • Sequential invoice numbering, with no gaps or duplicates
  • SHA-256 hash chain linking each invoice to the previous one
  • Immutable record: once issued, the invoice cannot be modified (only voided)
  • Verification QR code on every invoice
  • Ready to report the records to the AEAT automatically
  • Responsible declaration from the software manufacturer (a requirement of the regulation)
  • Retention and traceability of the invoicing records

El Bujías generates your invoices with sequential numbering, a hash chain and an immutable record, and is ready for automatic submission to the AEAT and the verification QR as soon as the regulation becomes mandatory. Its responsible declaration is already signed — read it here. It is also much more than invoicing: work orders, quotes, appointments, inventory and customer communication, all from your phone.

Frequently asked questions about VeriFactu

What is VeriFactu?
VeriFactu is the Spanish tax agency’s (AEAT) system for verifiable electronic invoicing. It comes from Royal Decree 1007/2023 and Order HAC/1177/2024, and it requires invoicing programs to guarantee the integrity and immutability of every invoice, chain it cryptographically and be ready to report it to the tax authorities (Hacienda).
When is VeriFactu mandatory for a workshop?
Following the deferral in Royal Decree-law 15/2025, the obligation comes into force on 1 January 2027 for companies (subject to Corporate Income Tax) and 1 July 2027 for the self-employed and other IRPF taxpayers. Until those dates you can keep invoicing under the Invoicing Regulation (RD 1619/2012).
Can I keep invoicing with Excel or Word?
From the obligation date, no. VeriFactu requires a computerised invoicing system that chains your invoices and is ready to report them to the AEAT. Excel, Word or a paper invoice book do not meet those technical requirements.
What must a program ready for VeriFactu have?
Sequential numbering, a SHA-256 hash chain, an immutable record, a verification QR code, the ability to report the records to the AEAT and the manufacturer’s responsible declaration. El Bujías already does all of this: sequential numbering, a SHA-256 hash chain, an immutable record, the AEAT verification QR on every invoice, automatic submission of each record to the AEAT with the workshop’s certificate, and the manufacturer’s responsible declaration, signed and published.
What is the responsible declaration?
It is the document in which the software manufacturer certifies that its system meets the regulation’s technical requirements. The manufacturer signs it, not the workshop: you just have to use a program that has one. El Bujías’s is published at elbujias.es/declaracion-responsable, always in its current version.
What do I need to activate it?
Your workshop’s digital certificate: the personal certificate if you invoice as self-employed, or the representative’s certificate if you invoice as a company, exported as a .p12 file with its password. The in-app guide explains how to get it and export it.
What happens if I don’t adapt in time?
Invoicing with a system that does not meet the requirements once it becomes mandatory may lead to penalties. That is why it is worth choosing a program ready for VeriFactu in good time and migrating your data before the deadline, without rushing.
Can I issue both full invoices and simplified invoices (receipts)?
Yes. El Bujías issues both, with separate sequential series: «A» for full invoices, «S» for simplified ones and «R» for corrective invoices, as article 7 of Royal Decree 1619/2012 requires. For a workshop, a simplified invoice may only be issued up to €400 VAT included (article 4.1); above that, the program asks for the customer’s DNI/NIE and issues a full invoice.
What if I make a mistake on an invoice I have already issued?
An issued invoice cannot be edited or deleted. It is corrected with a corrective invoice (factura rectificativa), full or partial, linked to the original. Cancelling an invoice does not make it disappear: it creates a cancellation record that is also sent to the AEAT and stays in the chain.
